Time reporting
With its intelligent time tracker, todo.vu captures valuable data about your daily, weekly, monthly and yearly business activities, including data related to your tasks, projects, clients, team, billing rates and hours.
This way, you can access detailed, actionable insights about how your business is operating, and what could be improved, at any time.

Accessing reports
Navigate to your reports in todo.vu by selecting ‘Reporting‘ from the left-hand sidebar of your Workspace.
A note on accessing reports
Depending on your user access level, some reporting features and functions mentioned in this guide may not be available to you.
Administration users and Workspace Owners by default have full access to all features and functions; however, Staff users will have limited access:
- Staff (non-Admin) users will see only their own data on their Reporting Dashboard, excluding any billing data.
On your Workspace’s Reporting Dashboard, you will see a complete visual overview of your teams’ unbilled, billed, non-billable and draft billed hours for a selected – and customisable – date range.
Underneath this graph, in the Analysis and export section, you will see a breakdown of these hours by Client, Project, User and Task label. You may not see all of these fields if you have not recorded any time to them within your selected date range.
To the left of your Workspace, you will see the option to filter these results as it suits you; more on this below.
Customise reports by date range
To dig deeper into your data, you can filter your data by any date range – right back to the very first time you started using todo.vu.
You will see the letters ‘D’, ‘W’ and ‘M’ above your graph on the right-hand side. These stand for:
- Day
- Week
- Month.
These letters determine the length by which you can move your date range selector, which is the rectangular tool highlighted in orange on the graph:
When you select ‘D’, you are selecting ‘Snap to day’, which means you will be able to select a range down to the nearest day. If you select ‘M’, you are selecting ‘Snap to month’, which allows you to select a range in monthly intervals.
Once you have selected a date range with your selector tool, the breakdown of your hours underneath the graph (the Analysis and export section) will update accordingly for the date range selected.
You can also select ‘This month’, ‘Last month’, ‘This quarter’, ‘Last quarter’, or ‘This year’ from underneath the graph.
Filtering reports
Filter by Client and Project
You can choose to filter your report by Client and, to narrow your report even further, by a specific Project. This way, you can clearly see all hours billed, yet-to-be-billed, in draft or non-billable for each Client (and their Project/s) for a certain time period.
If you are an Admin user or Workspace owner, you can also see how many hours each team member has spent on a specific Client’s tasks or Project.
Note
You can toggle between the Summary and Detailed tab within your report’s Analysis and export section for a detailed view of every time entry recorded according to your filters. Admin users can see different team member’s time entries here, as well as their billing information.
Staff users, on the other hand, will only see their own time entries recorded within their selected date range.
Filter by user
By default, the ‘Filter by user’ option on your Workspace’s left sidebar is set to ‘Everyone’. That’s why you will initially see all of your team members (Staff users) under your report’s Analysis and export section.
To hone in and view data for just one team member, you can search for that team member from the pop-up window that appears when you select the ‘Filter by user’ field. Once you select your team member, your report will filter to display hours for that team member only.
Filter by label
By default, the ‘Filter by label’ option on your Workspace’s left sidebar is set to ‘All’. That’s why you will initially see all of your labels under your report’s Analysis and export section.
To hone in and view data for a specific label, you can search for that label from the pop-up window that appears when you select the ‘Filter by label’ field. Once you select your label, your report will filter to display hours connected to that label only.
Filter by billing status
By default, the ‘Filter by billing status’ options are all enabled. That’s why you will initially see all of your recorded hours, whether they are unbilled, billable or non-billable, under your report’s Analysis and export section.
To hone in and view data for a specific billing status (or a combination of statuses), simply select which ones you would like to view. Then, your report will filter to display hours for your chosen billing statuses only.
Save custom reports
When you need to view the same reports periodically; say, every month, you can easily create a library of saved reports in todo.vu, so you do not have to set up the same reports repeatedly.
Your saved reports will retain the filters that you set up while you created your report; you will be free to change the date range for that report.
To save a report:
Once you have created a report that suits your needs with todo.vu’s filters, simply select the star icon at the top of the Filter sidebar on the left.
To open a saved report:
Simply select the star icon at the top of the Filter sidebar on the left. A pop-up window will appear, from which you can select the report you are looking for.
Note
Ensure you take care to name your reports clearly!
Export Reports
You can download your reports in CSV format or export them directly to Google Sheets at any time. You will see these options at the bottom of your report.
Download CSV:
Your report will be downloaded as soon as you select this option.
Export to Google Sheets:
As soon as you select this option, you will be taken to a new web page to select the Google account to which you would like to export your report. Once you have selected your account, Google will take you directly to the Google Sheets document.
Note
Administration users can choose to hide billing information from their reports. This is useful when you would like to share a report with someone you do not want to provide this additional information to, for example.
Before you export your report, simply ensure that the ‘Show billing rates’ option on the left-hand Filter sidebar is switched off.
